Privacy policy

Who we are

Norvale Suites operates furnished accommodation in Toronto, Ontario. For the purposes of Canadian privacy legislation, we are the organisation responsible for the personal information described below. Questions about this policy go to hello@norvalesuites.com.

What we collect

  • Inquiry information. Name, email address, phone number, dates of stay, suite size, and anything you choose to include in a message.
  • Corporate inquiry information. The above plus organisation name, role, headcount, budget range, billing method and any claim or project reference you provide.
  • Booking information. Government photo identification for named occupants, billing details, and the licence agreement itself.
  • Stay information. Records of maintenance requests, correspondence and access arrangements during a stay.
  • Website information. Standard server logs and, where analytics are in use, aggregate usage data. We do not use advertising trackers.

Why we collect it

To answer your inquiry, quote a stay, prepare and administer a licence agreement, provide support during the stay, meet our legal and insurance obligations, and — where you have agreed — send occasional updates. We do not sell personal information, and we do not disclose it to third parties for their own marketing.

Consent

Submitting an inquiry constitutes consent to us using the information in it to respond. Consent for anything beyond that is asked for separately, and can be withdrawn at any time by writing to us, subject to any legal or contractual obligations that require us to retain records.

Who we share it with

Only where necessary: building owners and property managers where a suite requires occupant registration; insurers and adjusters where you have asked us to bill a claim directly; payment processors; and professional advisers. Where a corporate account books on behalf of an employee, we share stay-related information with the account contact who is paying for it.

How long we keep it

Inquiry records that do not become bookings are retained for up to 24 months. Booking and financial records are retained for the period required by Canadian tax and limitation legislation. After that they are securely destroyed.

Where it is stored

Primarily in Canada. Some service providers — our property management system, email and form handling — may store or process data outside Canada, in which case it is subject to the laws of that jurisdiction. [Confirm the actual list and locations before publishing.]

Your rights

You may ask what personal information we hold about you, ask us to correct it, or ask us to delete it where we are not legally required to keep it. Write to hello@norvalesuites.com. We respond within 30 days.

Complaints

If you are not satisfied with our response, you may complain to the Office of the Privacy Commissioner of Canada, or to the Information and Privacy Commissioner of Ontario where provincial legislation applies.
